Introduction to the vacant position:
The Institute for Bioengineering of Catalonia (IBEC) is looking for a Events Officer to join our communications team. The successful candidate will be responsible for planning, organizing, and executing events that showcase IBEC’s research and outreach initiatives, while ensuring high-quality and impactful experiences for all attendees. This role is pivotal in enhancing IBEC’s visibility and reputation through successful event management.
Main tasks and responsibilities:
- Plan, organize, and manage internal and external events, including conferences, workshops, seminars, and institutional events.
- Coordinate all aspects of event logistics, from registration to post-event.
- Support the development and implementation of event marketing strategies, including managing event invitations, promotional materials, and communications.
- Liaise with external providers and partners, ensuring efficient coordination and budget control.
- Experience with budgeting and negotiating with vendors.
- Assist in the production of event materials such as programs, agendas, and presentations.
- Manage post-event reporting and analysis to assess event success and areas for improvement.
- Support the communications team with other related tasks as needed.
Requirements for candidates:
Essential:
- 2+ years of experience in a similar role, preferably within the research, academic, or scientific sectors.
- CFGS or Bachelor’s degree in a relevant field (e.g., Communications, Marketing, Event Management).
- Strong organizational skills with an eye for detail and the ability to manage multiple events simultaneously.
- Excellent communication and interpersonal skills, with the ability to work with diverse teams and stakeholders.
- Proven ability to work independently, take initiative, and handle a fast-paced environment.
- Experience with budgeting and negotiating with vendors.
- Fluent in English and Spanish/Catalan (both written and spoken).
